PRIVACY POLICY

BTT Partners Pty Ltd · ABN 47 667 849 961

Draft for review · Prepared 20 October 2026

BEFORE THIS POLICY IS PUBLISHED

Confirm the privacy contact, email marketing and hosting providers, overseas storage locations and actual tracking settings. This draft describes the information supplied so far; it is not a certification of legal compliance.

1. Who we are and what this policy covers

BTT Partners Pty Ltd (ABN 47 667 849 961) operates Fitness Funnel. In this policy, “we”, “us” and “our” mean BTT Partners Pty Ltd. This policy explains how we handle personal information through the Fitness Funnel website, free marketing audit enquiries and email communications.

We have identified the business as a small business currently exempt from the Privacy Act 1988 (Cth). That position depends on our turnover and activities and may change. This policy sets out our privacy practices; it does not claim that the Australian Privacy Principles apply to us where they do not. Any legal obligations that do apply take priority.

This policy covers our own website and enquiries. It does not describe how we would process a gym’s member or lead database when delivering services. If that activity begins, the relevant arrangements and this policy must be reviewed.

2. Information we collect

When you request an audit or contact us, we may collect your full name, gym name, email address, mobile number, website or Instagram address, suburb and state, active membership range, gym management software, whether you run paid ads and any challenge or other information you choose to share.

Emails may contain your contact details, message content and correspondence history. Please do not send health information, payment card details, passwords or identifiable member records through the audit form or email. We do not request sensitive information for an audit.

Our website uses Google Analytics, Meta Pixel and Google Tag Manager. Depending on how these tools are configured and your browser or consent settings, technical and usage information may include IP address, cookie or device identifiers, browser and device details, pages viewed, referral source, interactions and timestamps. Information that can identify or reasonably be linked to you may be personal information.

3. How we collect information

We collect information directly when you submit the audit form or email us, and automatically through the website technologies described below. For an audit, we may also review publicly available information about your gym, such as your website, social profiles and Google Business Profile.

You can browse without submitting an enquiry. You may choose not to provide requested details, or ask to use a pseudonym where practical. If we cannot identify your gym or contact you, we may be unable to provide the audit or answer your request.

4. Why we use information

We use information to respond to enquiries, assess and prepare your marketing audit, contact you about findings, maintain correspondence, operate and secure the website, understand website use and improve our services.

Analytics and advertising tools may also measure campaign performance, attribute enquiries and support advertising audiences or remarketing, depending on the features enabled. We will not describe these functions as disabled or consent-controlled until the live configuration has been verified.

We may send relevant marketing emails where you have consented or another lawful basis permits it under the Spam Act 2003 (Cth). Marketing messages must identify us, include contact details and provide a working unsubscribe option. We will action unsubscribe requests within five working days. Requesting an audit does not automatically mean you have agreed to unrelated marketing.

5. Cookies, analytics and advertising

Google Analytics helps us understand how visitors use the website. Meta Pixel can send website event information to Meta to measure advertising and, where enabled, build audiences. Google Tag Manager manages website tags; the information collected depends on the tags deployed through it.

These tools can use cookies and similar technologies. Their providers may combine information with other information they hold, subject to their own policies and your settings. We do not intentionally send audit form answers or sensitive information to analytics or advertising tools.

You can block or delete cookies through your browser and manage advertising preferences through Google and Meta. Google also offers an Analytics opt-out browser add-on. Blocking cookies may affect some website functions and does not necessarily stop all tracking methods. Where the website provides a consent or preference control, you can use it to change your choices.

Configuration to confirm before publication: the Google Analytics version and enabled features; the events and identifiers sent to Google and Meta; whether advertising personalisation or remarketing is enabled; and whether a cookie consent mechanism is actually operating.

6. When we share information

We may disclose information to personnel and service providers who need it to handle enquiries, host or maintain the website, deliver email, provide analytics or advertising measurement, or support security and professional advice. Google and Meta receive information through the tools described in this policy.

We may also disclose information where you authorise it, where required or permitted by applicable law, or where reasonably necessary to respond to a legal claim or protect people and systems. We do not sell audit enquiry details.

Provider details to confirm before publication: the website and form hosting provider, email hosting provider, email marketing provider and any other service that stores or receives enquiry information. Do not assume that naming Google and Meta is a complete list.

7. Overseas handling

Some service providers, including Google and Meta, may process or store information outside Australia or allow access from overseas. The locations depend on the provider, service and account configuration. Their global operations may involve countries with different privacy protections.

Countries and arrangements have not yet been confirmed. Before publication, identify the likely overseas recipient and storage countries where practicable, and confirm any safeguards or contractual arrangements. This draft does not claim that all information stays in Australia or that overseas processing is limited to a particular country.

8. Security and retention

We take reasonable steps appropriate to the information we handle to reduce risks of unauthorised access, misuse, loss or disclosure. No internet transmission or storage method is completely secure.

We retain information for as long as reasonably needed for the purpose it was collected, ongoing enquiries, legal requirements and legitimate record-keeping. When it is no longer needed, we take reasonable steps to delete or de-identify it, subject to backup cycles and lawful retention obligations. We do not promise a fixed deletion period that has not been verified.

If a security incident occurs, we will assess it and respond in line with any applicable legal notification obligations.

9. Access, corrections and privacy choices

You can contact us to ask what personal information we hold about you, request access or correction, withdraw consent to optional uses, or ask us to delete information that is no longer needed. We may need to verify your identity before acting.

We will consider and respond to requests within a reasonable time, aiming for 30 days. We may need to retain information for legal or legitimate record-keeping reasons, and some requests may be limited by applicable law or another person’s privacy. Where we cannot fulfil a request, we will explain why where appropriate. These are our stated practices, not a claim that a statutory right applies in every case.

10. Questions and complaints

For privacy questions, requests or complaints, contact BTT Partners Pty Ltd using the Fitness Funnel contact email below. Include enough detail for us to understand the issue, but do not send unnecessary sensitive information. We aim to acknowledge complaints within seven business days and provide a substantive response within 30 days, or explain any delay.

Contact listed on this website: hello@fitnessfunnel.com.au. Confirm before publication that this inbox is monitored and authorised to receive privacy enquiries.

If you are dissatisfied, you can seek guidance from the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992. The OAIC’s ability to investigate depends on whether the business and activity are covered by the Privacy Act; an exempt small business may be outside its complaint jurisdiction.

11. Other websites and changes

Links to other websites do not mean we control their privacy practices. Read their policies before providing information.

We may update this policy as our services, providers or legal obligations change. The current version will be available on this page with an updated date. Material changes will be communicated where required. This draft should not be treated as an approved, effective policy until the outstanding details have been confirmed.
